Graduation

v  When planning a graduation party open house, a good rule of thumb is to plan for half of your guests at any one time.  This is a starting point for determining your equipment needs.

v  Adding a tent to any special occasion can make for a festive atmosphere and is a good way to hedge against inclement weather (rain, direct sunlight, etc.).  A tent is a great way to keep the event outside and reduce the traffic in your home.

v  Some of our popular party packages that are used for graduation parties include:

Ø      Package #2  --  10’ x 20’  Frame tent that accommodates up to 24 guests.  Can be used on hard or soft surfaces.  Perfect for a driveway setup.

Ø      Package #3  --  20’ x 20’  Pole tent that accommodates up to 48 guests.  Can be used on soft surfaces only.

Ø      Package #4  --  20’ x 20’  Frame tent that accommodates up to 48guests.  Can be used on hard or soft surfaces.  Great package for a driveway setup.

Ø      Package #5  --  20’ x 30’  Pole tent that accommodates up to 72 guests.  Can be used on soft surfaces only.

v  Extra tables are sometimes necessary for food, beverages, deserts, cakes, or gifts.

v  Fill ‘N Chill tables are popular and are many times used to chill fruit, cold foods, or beverages.  These tables have a lot of flexibility and allow our clients to get creative.

v  Decorations and Table covering can dress up your event.

v  An ice cream cart can be a great edition to your event and who can pass up cold refreshing treat on a hot afternoon.  Also, they can create extra freezer / cold storage space.

v  If your event plans will continue into the evening hours you may consider rope lights to create some soft light and keep your guests safe.

v  The most popular weekends for graduations are the 3rd and 4th weekend in June.  You may want to consider weekends late in May or early in July to avoid chaos and conflicts with other graduation parties.

v  Reserve your dates early for both your equipment rental and caterers.  It is best to reserve your dates 2 – 4 months in advance since the 3rd and 4th weekend in June is the most popular for graduation parties.

Family Reunion / Birthday Party

v  Identifying a location is an important part of planning any event.  If the location is in a backyard or local recreational area, ensure that there is ample space for your event and parking.  When using a common area in a subdivision ensure that you reserve the space and obtain the proper authorization.  If using a local park or recreational area it may be necessary to obtain a permit for your event.  Contact your local park or recreational area offices to determine the necessary requirements.

v  Upon selecting a location evaluate if a tent may be necessary.  Reserving a tent can make the occasion more festive and it provides shelter incase of inclement weather (rain, direct sunlight, etc.).

v  If your event plans will continue into the evening hours you may consider rope lights to create some soft light and keep your guests safe.
